BambooBikeTrails (BBT) Multi-Day Booking Conditions & Refund Policy

Booking and Payment

1.1. To secure your reservation, a non-refundable deposit is required at the time of booking.

1.2. The amount of the deposit will be specified at the time of booking and is non-refundable due to customer cancellation under any circumstances. The deposit may be rolled over to another BambooBikeTrails event in the current or subsequent year only.

1.3. The final balance payment is due no later than 6 weeks prior to the commencement of the Tour.

1.4. Failure to pay the final balance by the specified deadline may result in the cancellation of your booking, and the withholding of any deposits paid.

Cancellation and Refunds

2.1. If the Participant cancels a booking after payment of the deposit, the deposit amount is non-refundable.

2.2. The Participant may roll over a deposit to any future BambooBikeTrails event, subject to availability, within the same or subsequent calendar year.

2.3. If the Participant cancels a booking after paying the final balance, and more than 6 weeks before the start of the Event, they will be refunded 50% of the final balance payment.

2.4. Cancellations made within 6 weeks of the Event start date are not eligible for any refunds.

2.5 BambooBikeTrails reserves the right to cancel an Event due to unforeseen circumstances or events beyond its control. In such cases, Participants will be entitled to a full refund of all payments made to BambooBikeTrails, including deposits and single room/bike rental supplements.

Single Room Occupancy

3.1. Single room occupancy is possible, subject to availability.

3.2. Participants opting for single room occupancy will be required to pay an additional single room supplement fee, the amount of which will be specified at the time of booking.

3.3. The single room supplement fee is non-refundable in the event of cancellation or cancellation due to late payment of the final booking payment.

3.4. BambooBikeTrails reserves the right to assign participants to shared accommodations if single room occupancy is unavailable at the time of booking.

Event Cancellation by BambooBikeTrails

4.1. BambooBikeTrails reserves the right to cancel an Event if minimum participant numbers are not met.

4.2. In the event of Event cancellation by BambooBikeTrails, participants will be notified as soon as possible, and a full refund of all payments made to BambooBikeTrails will be provided.

4.3. BambooBikeTrails may endeavour to offer an alternative date should any cancellation take place.

Participant Responsibility, Risk, and Liability

5.1. By booking a BambooBikeTrails event, all entrants agree to accept the terms of the entry Waiver, detailed below:

BambooBikeTrails Entry Waiver

6.1. The Participant understands that they are participating in a challenging cycling Event, in a mountainous environment. As such, each Participant confirms that they are in good health upon entering the event, with a level of fitness appropriate to the event requirements.

6.2. The Participant understands that their bike must be in sound mechanical condition, with gearing and components suitable for mountainous terrain and sustained climbs. Brakes and tyres should be in excellent condition. Basic mechanical support is offered by the Event team, including the use of tools. 

6.3 The Participant agrees to obey all traffic regulations in place in the Event location and acknowledges they will be riding on open roads, which may include hazards such as roadworks or loose surfaces. The Participant understands that planned routes may change due to unforeseen circumstances.

6.4 The Participant agrees to ride within their physical limits and to avoid putting themselves, other Participants, or the public at risk.

6.5 The Participant affirms they have no medical or physical conditions that would prevent their participation. If necessary, a medical clearance will be obtained.

6.6 The Participant releases and discharges the Event Provider, its owners, staff, and partners from any claims or liabilities arising from participation in the Event or the mechanical support offered.

Insurance

7.1. BambooBikeTrails supplies bike insurance for participants while riding. 

7.2. BambooBikeTrails recommends that Participants purchase travel insurance including third-party cancellation insurance at the time of booking.

7.3. BambooBikeTrails accepts no liability for damage to bikes during transport to or from events.

Media

8. BambooBikeTrails will take pictures and videos during the trip which participants may download for free. BambooBikeTrails may use some of these to publicise upcoming tours unless informed that the participant does not agree to this.

Governing Law

9. These terms and conditions shall be governed by and construed in accordance with the laws of the United Kingdom, without regard to its conflict of law provisions.

By booking an Event with BambooBikeTrails, the Participant confirms they have read, understood, and agreed to these terms and conditions.
